Encumbrance Removal

Encumbrance Removal Request – NEW PROCESS!

In an effort to become more efficient there is a new process for removing remaining encumbrances or closing purchase orders. It is no longer necessary to use a separate form on the Purchasing and Payables website.

The new process is to make a request through a comment on the purchase order in MaineStreet MarketPlace with an email notification to Melissa Groleau melissa.groleau@maine.edu authorizing the purchase order be closed. (You can also select email notification for the approver on the purchase order if appropriate).

Access Comment Tab on the Purchase order

  1. Enter PO # in the Search for at the top reight of MSMP, enter PO No. and click GO.
  2. Click the Comments tab to open or under available actions: add comment, click GO.
  3. Be sure Melissa Groleau email notification is checked - ADD email receipient.
  4. Type in comment. Example - Order is complete, please close purchase order and remove encumbrance.
  5. Click Add comment.
