4.1 Employment Eligibility and Verification ( I-9 Form)

Federal Law requires that every employee complete the I-9 Form at or prior to the start of work as a condition of employment. This is to verify in the presence of an authorized person that you are either a U.S. citizen or are otherwise entitled to work in the U.S. If you have not yet completed this requirement, do so right away either at McLellan House on the Gorham campus or with the designated person in your department. Call 780-5115 for details. On-line I-9 information includes a list of acceptable documents from which you are to show proof of identity and which you must produce at time of completing the form. (Note: a passport alone is sufficient; if you do not have one, you may have to produce two forms of identification such as driver’s license and Social Security card).

4.2 Keys

To obtain a key to your building, complete and forward a Key Request Form (available from your department) to Facilities Management (FM). They will notify you when it's ready. Questions should be directed to FM at 780-4160/5226.

4.3 Signing Up For Benefits

It is vitally important for new employees not to delay in contacting the Benefits Office (780-5218) since some programs require that you enroll within 30 days of starting work. Also check with them if your status changes ( for example, from part-time to full-time or to a different bargaining unit ). A description of benefit programs is found at Section 8.

4.4 Setting Up Your Pay

  4.4.1 Tax Withholding (W-4) 

   It is a good idea to annually review your federal and state tax withholding since there are often changes that may cause over or under-withholding. You may find the on-line tax calculator useful as you conduct this review.

   State and federal forms are available by emailing cstack@usm.maine.edu or calling 780-5115. You may also download them from the web ( Federal / State).

    4.4.2 Payroll Direct Deposit

   Direct Deposit is a convenient and time-saving way to automatically send your pay to one or more financial institutions. The Authorization Agreement for Direct Deposit and instructions are available on-line or by calling 780-5115.

   4.4.3 Other Payroll Matters

   The Payroll Office website includes a variety of useful information on topics of individual importance such as address changes, authorization for additional compensation, payroll calendar, individual data sheet, moving expenses, name change, savings bonds, shift differentials, taxable tuition waivers, and understanding your paycheck.

4.5 Checking Your Personal Information

You have direct access on-line to most of your personal data.   To access this information, simply logon to PeopleSoft at the following url:  www.maine.edu.

An official Personnel File is maintained at the McLellan House on the Gorham Campus. You may arrange to obtain copies of specific documents or examine your file in the presence of a Human Resources file custodian. Call 780-5115 for details.

4.6 Child Care Services

USM Child & Family Centers has centers on the Portland and Gorham campuses and offers a summer day camp program for school-age children. Its services are available to the children of USM students and employees, University of Maine System alumni, and the community-at-large, in that priority order. Call 780-4125 for details.
