9.1 Giving Notice

While we hope that you will choose to stay with USM for a full career, we recognize it is inevitable that some of you may leave USM employment for a variety of reasons. It is important to give as much advance notice of departure as possible to allow an adequate time to obtain a replacement. Please provide written notice of departure to your supervisor with copy to Claire Hassler, 7 College Ave, Gorham campus as soon as possible prior to leaving. For persons holding a position at the chairperson/director level and for faculty, a 90-day notice is expected with at least a 30-day notice requested for other positions.

9.2 Exit Checklist

There are several things to take care of prior to departure by the employee or supervisor, which may include the following:

        Delete long distance authorization code, cancel calling card, and update telephone directory information.

        Inform UCT as to last day of work for adjustment of computer access rights.

        Return to Property Management any property checked out for home use. Turn in keys and follow procedures on Purchasing Card Cancellation.  Corporate American Express Cards are to be cut in half and forwarded to Business Services.

        Under the COBRA legal provision, the insurance carrier will mail information automatically for anyone enrolled in University Health Insurance ; this provides the option to continue coverage at the group rate. Call the Benefits Office, 780-5218 for details.

      Your last day of work will be your final day of contributions to TIAA-CREF or any of our other retirement plans.  If you wish to change any of your contributions for your remaining salary you must submit the necessary forms to Benefits prior to when payroll runs.  Please call the Benefits Office at 780-5218 for further information regarding requirements and
restrictions.

       Submit to the Payroll Office, McLellan House, Gorham, showing separation date for final pay calculation which will include unused accrued annual leave.

       Some other things to consider: obtain letter of reference/recommendation, discard USM parking sticker; leave 
forwarding address.

9.3 Exit Interview

It is important to the University to obtain feedback about your experiences at USM, to include identifying areas for suggested organizational improvement. Please contact Claire Hassler at 780-5175 to participate in USM’s Exit Interview program. This can be as limited or extensive as you wish, and can be accomplished by completing a written questionnaire, a phone interview, or in-person interview. With your permission, feedback is provided to supervisors. The information is also helpful input for planning of future staff training and development programs.
