The Administrative Assistant I is responsible for duties that include reviewing and processing purchase orders (P.Os), overseeing the day-to-day dispatching and distribution of P.Os, assuring campus compliance with UMS policies. Enters Travel Expense Vouchers (TEVs) for payment. Administrative Assistant I performs routine administrative work of which involves confidential information and requires common sense, initiative and the ability to prioritize and deal with multiple priorities, often within tight deadlines. The use of judgment and initiative are frequently exercised in answering verbal and written communications and in interpreting policies, rules and regulations; the ability to do creative thinking balanced with the ability to follow established policies, procedures and practices is required. The job requires strong organizational skills, as well as the ability to work independently with a minimum of supervision and a superior ability to research and provide information in a timely manner. The AAI utilizes a full range of office equipment and software with intermediate skill levels of word processing and data manipulation. Frequent communication in all modes is required across the University, and the System Office.
QUALIFICATIONS: Required: A minimum of high school diploma or equivalent experience, plus some advanced training/education in a relevant area (such as university, technical college or computer/word processing/spreadsheet/database training). A minimum of 2 years in an office setting performing various tasks, including receptionist responsibilities. Computer skills to include word processing, and use of spreadsheet and databases, preparing correspondence and documents, filing, and use of general office equipment. Preferred: Two years of related post-secondary study. Experience using Peoplesoft Financials. Experience and ability to utilize, with an interest to acquire additional, computer software skills at a minimum of an intermediate level.
