WebAuth will assist USM departments with the process of employing students. After Logging into WebAuth,hiring supervisors can begin the hiring process by entering their Employee ID into the Login to Student Work Authorization screen. After completing some required information on the next screen, WebAuth will check to see if the student is eligible for employment. If so, employers will be presented with a completed Work Authorization Form for Student Employees to be printed and signed. Only supevisors pre-authorized by your department will be able to use WebAuth.

WebAuth will check the registrar’s file to see if a student is registered for a sufficient number of credit hours and will also check a student's Financial Aid record and advise the employer the dollar amount of available FWS funds, if any. Employers will be advised if a student is or is not eligible for employment under department or FWS funds.

IMPORTANT -PLEASE NOTE: If a student has not worked for the university during the past six months, an I-9 Form, must be completed by the employee and validated by you, the supervisor. If you are employing a foreign student please have the student complete an I-9 Form and have it validated by Student Payroll, located in Human Resources, McLellen House, Gorham campus or the International Exchange office, 101 Payson Smith, Portland campus. A validated I-9 Form, is required by the U.S. Department of Justice, Immigration and Naturalization Service, BEFORE an individual can begin employment. In addition, forms W-4 Form and W-4ME Form should be completed if not already done so.


After the USM Work Authorization Form for Student Employees has been printed and signed, attach any necessary forms ( I-9 Form, W-4 Form, W-4ME Form and Direct Deposit Form and forward it to the Student Payroll Office..

A reminder, all time worked by an employee must be approved by 12 Noon each Monday. Students should enter time-in and time-out on a daily basis. Failure to do so will delay payment of wages until time is entered correctly. This delay will normally result in payment on the next payroll date. Students who withdraw from all classes or drop below 3 credit hours must stop working immediately. FWS student who drop below 6 credit hours must also stop working immediately.

USM supervisors who are pre-authorized to logon to WebAuth must use their Peoplesoft Login ID to access the system. If you need to access the system please contact Tamara Saarinen at 228-8536 or email tamaras@usm.maine.edu.
