Motor Pool

In an effort to increase efficiency, become more sustainable and take advantage of system contracted rates, USM is working towards downsizing our motor pool fleet.  As of January 1st, we will only have two large vans for available to rent. All other rental requests will need to go through the Concur online travel system. A list of the contracted rates through Enterprise and reflected in Concur are attached for reference. Assistance, questions or training for the Concur system are available through the Office of Strategic Procurement.    

Van Rental Rates:

  • 9 Passenger Vans = $25.00/day & 46 cents/mile

Cost is inclusive of gasoline.

Please Note: Facilities Management does not provide EZ Passes. Toll reimbursement should be processed through the Concur Travel reimbursement system.

 

To Reserve a Vehicle:

Complete the Motor Pool Request form to make sure that a vehicle is available for you.Completed Request Forms may be faxed to 780-4538 or emailed to usmmotorpool@maine.edu

Any University employee or student wishing to operate a vehicle owned, leased, rented, or borrowed on behalf of the University must first be approved as a University Driver. Individuals wishing to be authorized as University Drivers should complete the University Driver Authorization Form and submit via email to usmmotorpool@maine.edu, or mail to 25 Bedford Street, Portland Campus for verification.

Any individual driving University vehicles or vehicles on behalf of the University, including their own vehicle, must be familiar with and adhere to all guidelines outlined in the Motor Vehicle Administration APL. The Motor Vehicle Administration and Guidelines APL can be found HERE

Due to the high demand for motor pool vehicles there will be a charge of $25 per vehicle per day for reservations that are not canceled AT LEAST 24 working hours prior to the start of the reservation.

 

**Please note that any user that wishes to use a 9 Passenger van will need to participate in a Van Safety training that is coordinated through the Environmental Health & Safety office. The van driving program can be found HERE
