All Residence Halls will close on Friday, May 9th at 5:00 pm for non-graduating USM students.

Card access will shut off Friday at 5:00 pm unless you have been approved to stay late by Residential Life.

Graduating seniors must check out before Saturday, May 10th at 5:00 pm. That said, all seniors must still complete the late-stay request form so we know you’ll be on campus.

All USM students apart from graduating seniors and those who are approved to stay late are expected to check out within 24 hours of their last final, or by 5:00 pm on Friday, whichever comes first. This is an extremely important part of our end-of-year process as it allows us time to prepare spaces for an incoming group the following week. Anyone who does not check out on time may incur improper check-out fees, cleaning charges, and lock change charges. Review the information in the accordion below to avoid being charged!

SMCC students residing in Portland Commons must check out by Saturday, May 10th at noon.

Unity students residing in Woodward Hall must check out by Saturday, May 10th at 5pm.

Maine Law students must check out by Saturday, May 17th at 5pm.

Brooks dining hall and the Husky Hideaway close at 4:00 pm on Friday, May 9th. McGoldrick will have limited hours after May 9th. Please note that dining dollars do not roll over from year to year, so if you have any remaining, we encourage them to use them!

Checking out properly is a key part of making sure that you don’t incur improper checkout fees or cleaning charges.

  • Make sure to do the following:
    • Bring any unwanted usable items to the Mindful Move-out tables in your hall.
    • Defrost and clean your Microfridge! Microfridge cleaning is one of the most common damage billing charges and costs $35.
    • Make sure that all the original USM furniture is in your room. Missing furniture will be billed to you, and it is expensive!
    • Make sure your room is clean, all items and trash are removed, and that you are ready to leave.
    • Double-check in and behind all of your drawers, under your bed, and under and behind furniture for any personal belongings or trash before checking out and turning in your key.
    • Check out with an RA during duty hours OR between 10:00 am and 4:00 pm on finals week OR digitally by completing the checkout form and your room condition report (RCR) in the housing portal.
    • If your room has a metal key and you are checking out digitally, return your key to the black drop box next to the RA Office. Otherwise, give your key to the RA when you check out!
    • Keep your USM card!

Most of our end-of-year charges are due to cleaning and trash removal. Beyond normal wear and tear, you may be held responsible for any changes in the condition of your room from when you checked in. This is in addition to any community damage billing that occurred throughout the year. Please note that damage billing charges can be appealed, but only within 30 days of the posted charge.

  • Some common damages and estimated costs include:
    • Excessive Cleaning: $37 per hour
    • Micro-fridge Cleaning: $35  *NOTE: This is the most common charge.*
    • Trash Removal: $15 per bag
    • Lock Change (missing key): $120
    • Wall Repair: $65 per wall
    • Missing Screen: $45
    • Missing Mattress Cover: $43
  • Before you leave:
    • Wipe down all surfaces and sweep the floor (not into the hallway)
    • Empty out and unplug your micro-fridge in advance so it has time to defrost so that you can wipe out any water
    • Remove all trash and recycling from your room and bring it to the trash/recycling area
    • Bring any usable items that you don’t want to the Mindful Moveout table

Mindful Move-out is a way to donate items you are not wanting to take home but must be removed from your room.

  • Please bring any of the following to the mindful moveout table in your lounge or lobby:
    • Household items
    • Clothes
    • Working electronics
    • Non-perishable food
    • Books
    • Dining hall dishes
    • Broken electronics (mark as broken)
    • Furniture
      • Facilities will move large furniture items that you are donating to mindful moveout out of your room for free! Just submit a work order here.

If you are a USM student and need to request to stay after May 9th at 5:00 pm you will need to submit the late stay request form on the housing portal. Students can request to stay for an additional $35 per night. These requests are just that – requests. Not all requests will be able to be approved as we work towards readying summer housing and preparing our campus for summer groups coming in the week after finals. No approvals can be granted later that Sunday, May 11th at noon.

  • Who should request to stay late?
    • Seniors looking to stay through Saturday (no fee)
    • Students with travel conflicts that prohibit them from leaving by 5:00 pm on Friday, May 5th
    • International students with flights over the weekend
  • Who does not need to complete the form?
    • Student-athletes who are still competing (no fee)
    • Summer residents who have received an assignment (no fee)
    • Students performing in the band at graduation (no fee)

If you are looking to stay past Sunday, May 11th you will have to apply for summer housing which can also be done through the housing portal.

Please read below for some important reminders from Mail Services:

  • Before you leave campus for the Summer make sure you take care of the housekeeping items on this list: 
    • Check your mailbox and remove all mail. Don’t know your mailbox information? Stop by Mail Services or find it on your housing portal.
    • Pick up your packages Monday-Friday 9:00 am-4:00 pm. Mail Services may not be able to forward packages left behind.
      • Can’t make it to pick up your package when they’re open? Have a friend pick it up! Send an email to usmmailservices@maine.edu stating that you give a trusted person permission to pick it up for you, making sure to include their first and last name.
      • Mail Services cannot forward FedEx, UPS, and DHL packages per their policy. Only USPS packages can be forwarded. 
    • Change your address with Amazon, Target, Kohl’s, etc… to get your packages to the correct address in a timely manner.
    • Lastly, but most importantly, add your summer mailing address to Mainestreet so Mail Services can forward your things if necessary.
